Business centres so appy with reception solution

COST-EFFECTIVE SOLUTION: Daniel Jain, Head of Product of MediaBase Direct, signs in using the e-Reception Book by LEADR at Fareham Innovation Centre, watched by Stephen Brownlie, Regional Manager – South, of Oxford Innovation

An expanding group of innovation centres has turned to a Hampshire digital agency for a new streamlined and efficient electronic reception system that complies with upcoming strict data capture regulations.

Oxford Innovation, which runs 24 innovation centres across the country occupied by more than 1,000 businesses, tasked Fareham-based MediaBase Direct (MBD) to develop a purpose-built solution.

And after trialling MBD’s e-Reception Book by LEADR, the group was so impressed it has fully installed it in 10 centres, with an option to put it in all the rest.

MBD’s fast-growing, easily-installed and customisable, tablet-based, fully confidential e-Reception Book by LEADR app replaced the traditional, non-compliant and visitors book.

Stephen Brownlie, Oxford Innovation Regional Manager – Solent, said: “We are an innovation centre and so I wanted to get in an innovative system that was flexible, adaptable, easy-to-use in our busy innovation centres and compliant.

“I was looking for a local company and came across MBD – and now we have a great relationship. I am very happy with them – they listened to our needs and built a system that worked for us. It is very much a partnership.

“It is also a big plus to know we will be entirely compliant when strict new data capture regulations are introduced in May 2018.”

Stephen added: “This e-Reception Book is also hugely cost-effective with no hidden charges. When I tell my colleagues around Oxford Innovation how much it costs they can’t quite believe it. I would recommend MediaBase Direct to anyone looking for a progressive firm willing to go that extra mile to get the job done.

“I would say that the reaction to e-Reception Book from visitors to our centres in 99.9% positive.”

The e-Reception Book is already being used at a multitude of sites where traditional reception data capture is becoming outmoded – particularly where there are a large number of visitors to a variety of businesses.

It is also being demonstrated or trialled with a large number of organisations, such as motor dealers, schools, solicitors and hospitals.

The app – retailing at less than £30 a month – invites visitors to sign in, and then sends a welcome email with vital, customisable data such as fire and safety information. After the visitor signs out a ‘thank you for coming’ email is generated.

MBD Head of Product Daniel Jain said: “Our e-Reception Book is becoming indispensible for businesses who must meet strict new GDPR*, PECR* and other important data protection legislation criteria.

“We have worked hard to produce this app to ensure all data capture is fully compliant and opt-in friendly – making cumbersome and expensive visitor books obsolete.

“Customers also benefit through data conversion to actionable information via fully automated intelligent email alerts, fast email cleaning, intelligent screening and fast validation processes – boosting awareness and response rates.”

Daniel added: “Helping hundreds of companies move from paper-based capture forms to using our LEADR Data Capture app to compliantly meet with the constantly changing data protection legislation has been one of our biggest achievements to date.”

Oxford Innovation, which houses and supports small to medium businesses and start-ups, has three centres in Hampshire – Fareham Innovation Centre, Portsmouth Technopole and Ocean Village Innovation Centre, Southampton.

The fully-occupied Fareham Centre at Daedalus is to have a £6m-plus extension by next Spring to meet commercial demand – it will add 3,400 square metres of floor space, 33 offices, five workshops.
