Old style visitor books in care homes could soon be a thing of the past – thanks to a new reception app developed by a Hampshire company.
Digital agency MediaBase Direct has launched an electronic replacement for the traditional sign-in book.
It is transforming reception areas and giving them a modern, hi-tech feel and allays concerns over the lack of privacy for visitors and residents in an open visitor book.
And it is already being taken up by a string of care homes across the south, including Willow Lodge at Emsworth.
The residential home on the shores of Chichester Harbour, specialising in dementia care, has installed CARE by LEADR on an iPad in the reception area.
Technicians at MediaBase Direct, based in Segensworth, have developed the new app which enables visitors, staff and contractors to sign in electronically.
MediaBase Direct said: “Our CARE app has been designed and built to work with all ages and to innovate the traditional sign-in process, compliantly.
“The solution gives a home’s visitors the ability to check-in quickly on a tablet device, rather than sign-in to a traditional paper book. It provides the necessary information for opt-out and legal disclaimers.
“Privacy matters to us, so the CARE app has been uniquely built to prevent any patient lists being shown, and also each and every visitor will be hidden from the view of others.
“The system is intelligent and remembers visitor details so makes repeat visits simple both for checking in and out. It also helps reduce the administration burden on care home managers and owners.”
Visitors signing in receive an automatic ‘welcome message’ email including fire and evacuation information – a fundamental way to ensure that a proper health and safety record is held in the case of an emergency.
A ‘thank you’ email message, together with other locally-produced useful information, is received when visitors check out.
Stephen Geach, proprietor of English Oak Care Homes which runs Willow Lodge said: “We replaced our legacy reception book with the LEADR Care app, and this electronic solution has helped to keep our guest information confidential.
“The automatic ‘welcome’ email is a nice touch, as this lets our visitors immediately know more about our fire and evacuation process.
“The app is simple to use and enables all ages to swiftly register with us. We can now keep an accurate record of visitors on our premises at any given time.
“The tablet device, in our reception area, sets a modern impression of our business to all visitors when they arrive.”
Each CARE app is supplied with a bespoke dashboard, allowing care homes to view real-time visitor information and other important statistics. Also staff and contractor time sheets can be easily produced confidentially.
All information is compliantly captured, stored on UK servers, and meets strict UK and EU privacy regulations. The app retails for £29.99 a month, excluding VAT.
